Diversity, Equity and Inclusion Committee

Contribute to the achievement of the Y goals, values and overall mandate by providing your input and guidance to the Board of Directors through excellence in governance consistent with the board’s stated values.

Purpose/Objective:

YMCA of Greater Saint John (herein the “Y”) is committed to creating a more welcoming, culturally aware and growing community. To this end, we want to lead by example in providing inclusive, culturally rich services and programs for community members and staff from around the world and all walks of life.

The DEI Committee will provide input and guidance to the Board of Directors. Specifically, the Committee will:

  • Provide regular reports to the Board on opportunities and issues relating to equity, inclusion and diversity;
  • Provide strategic advice to the Board about policies that may be needed to strengthen DEI in governance;
  • Orient new Board of Directors members on DEI, training and development; and
  • Gather research and insight on the needs/wants of people in the greater Saint John region, acting as advocates as the Association to be a leader in DEI.

The DEI Committee, through excellence in governance and consistent with the board’s stated values, will contribute to the successful achievement of the Y goals, values and overall mandate.

Composition:

The DEI Committee shall be comprised of at least 1 member of the YMCA Board of Directors, a member of the YMCA’s senior leadership team (Ex-Officio, Non-Voting) and at least 4 additional community volunteers/staff.

MEETINGS

The committee shall meet via conference call or in person a minimum of 4 times annually.

All Committee members are expected to attend a minimum of 75% of the meetings. Provisions will be made for members to join meetings by Microsoft Teams if and when member(s) are unable to attend in person. A quorum requires 50% of members + 1 in order for the meeting to be official.

Meeting agendas and minutes will be prepared and provided 5 days in advance to members along with appropriate briefing materials.

Time Commitment: 5 hours per month.

OPERATING PROTOCOL

TERM OF OFFICE

Each voting member is appointed for a term of 2 years, with an option to renew and may be reappointed in accordance with these Terms of Reference for up to 3 terms. The term of a voting member begins in January of each year.

DUTIES AND RESPONSIBILITIES

  • The Committee will provide input and develop insights for the YMCA’s strategic plan to ensure it is inclusive and meets the needs of the diversity in the community;
  • The Committee will create annual goals, a work plan and organize work groups as needed;
  • Terms of Reference will be updated annually to ensure progress and relevance of the Committee;
  • Uphold YMCA values and demonstrate professionalism, transparency, and accountability;
  • Respect and give fair consideration to diverse and opposing viewpoints;
  • Contribute in a meaningful way, offering constructive, and respectful comments to the committee members, members of the staff and the community;
  • Respect timelines in completing tasks relating to DEI;
  • Research and identify best practices in the Atlantic region and elsewhere in Canada; and
  • Identify policies that might be enhanced to better support a DEI approach;
